The 2017 Graduate & Professional Schools Day event allows over 100 programs to speak informally with students seeking information about graduate schools and professional programs. Held outdoors on our beautiful campus, this event will be sectioned by academic field for students to navigate through the event more effectively.

When you register via Handshake, you will be asked as to what section you prefer to be placed and this will be marketed to students accordingly. Our students look forward to networking with your program's admissions officers, learning about the variety of programs present, the admissions criteria, the curriculum, the school atmosphere and much more!

For First-Time Handshake Users:

For first-time users, you will need to create a user account and link to your organization's Handshake page before you can register for this event.

  1. REGISTER: Fill out the Registration form and click “Sign Up”. You will be asked to enter your recruiting interests and alma mater, agree to the Employer Guidelines, Terms of Service, and Privacy Policy.
  2. VERIFY: Handshake will send you a verification email to the email you provided. Verify your account by clicking “Confirm Email” upon receiving it.
  3. CONNECT WITH YOUR ORGANIZATION: After confirming your email, if your organization already exists, Handshake should prompt you to connect with your organization. You can also use the search bar to find your organization, or click the “Create New Company” button.
  4. CONNECT WITH UCSB: Use the search bar to find "University of California, Santa Barbara" and click the “+” to connect with us!
  5. CONFIRMATION: Your connection will be reviewed by UCSB Career Services staff. Once reviewed, you will receive a confirmation email notifying you that you are now connected with UCSB.
  6. REGISTER FOR FAIRS: Once your user account has been created and approved, log on to Handshake. On the left-side navigation bar, click on "Fairs." Search for "UCSB" in the search bar and select the Graduate and Professional Schools Day event. Once you have completed all fields and submitted the event registration, our office will review your request. Please allow up to TWO business days for approval of registration. The registrant will receive a registration confirmation email via Handshake upon approval of registration. The registrant will also receive a separate email containing an invoice via Handshake.

10:00 AM – 2:00 PM: Grad Fair open to students
11:00 AM – 2:00 PM: Lunch available to program representatives (Event will remain open)

PARTICIPATION REQUIREMENTS

Graduate schools, professional programs and test preparation companies are welcome to participate. Schools and programs looking to recruit students for employment opportunities within your organization will not be considered.

REGISTRATION DEADLINES

July 5, 2017: Registration opens
October 19, 2017: Event Sponsorship add on & cancellation deadline. Full payment due.
October 25, 2017: Registration ends pending venue space. Contact CareerEvents@sa.ucsb.edu to request if space is still available after this date.
October 25, 2017: Last day to modify registration form, add extra representatives, etc.

DISPLAY SET-UP GUIDELINES

We attempt to arrange tables by major or focus as selected on your registration form for students to navigate through the event more effectively. It is recommended that your organization provide a sign, banner or another means of display identification for students to locate your organization. Please do not re-arrange your table(s), occupy an adjacent vacant table, or move to another location without securing approval from the Events Coordinator or Career Services staff. Two colleges or departments from the same university cannot share a table.

6' X 30" banquet table

Space Limitations

In consideration of neighboring booths, your display needs to fit within the space provided by the table(s) you will have at the event. Displays must fit either on or directly behind table(s). Displays cannot block aisles or walkways. To avoid interfering with neighboring recruiter-student interactions, music is not permitted.

Giveaways

In addition to providing informational materials to inquiring students, it is recommended to include giveaways at your display to draw student attention to your organization. Giveaways include, but are not limited to: pens, t-shirts, tote bags, Frisbees, etc. Please note that food, candy or beverages that are not individually wrapped and unopened cannot be distributed to students as strictly enforced by our university and catering service policies. Organizations found distributing products that conflict with university policies will be asked to discontinue and/or remove the products from their booth or the venue.

Representatives

No more than (4) representatives per table can be accommodated.

Utilities

Wireless internet and electricity are not available for this event. We cannot provide these services regardless of a request due to location restrictions.

Directions

Heading NORTHBOUND on Highway 101

  1. Take the 217 Exit (the Airport/UCSB Route) off Highway 101. This will take you to the main campus entrance near the ocean. Proceed through Henley Gate.
  2. At the roundabout, stay to the right and turn onto Mesa Road. Continue along this road.
  3. At the 3rd stoplight (Ocean Road) make a left. Continue along Ocean Road.
  4. When you reach the first stop sign, turn right.
  5. Continue straight, passing 2 stoplights.
  6. Parking Lot 22, which is a 6 level parking structure, will be on your left shortly after the stoplight.
  7. Stop at the Parking Lot 22 entrance to receive your parking permit. You can park on any floor, except DO NOT park in the “coastal access” reserved parking spaces.
  8. Signage will be located near the elevators on the first floor to direct you to the registration/check-in area.

Heading SOUTHBOUND on Highway 101

  1. Take the 108 Exit (Storke Road/Glen Annie Road) off Highway 101.
  2. Turn right onto Storke Road and continue to El Colegio Road.
  3. Turn left on El Colegio Road.
  4. Turn right onto Ocean Road.
  5. Parking Lot 22, which is a 6 level parking structure, will be on your left shortly after the stoplight.
  6. Stop at the Parking Lot 22 entrance to receive your parking permit. You can park on any floor, except DO NOT park in the “coastal access” reserved parking spaces.

Parking

All registered participants must park at Parking Lot 22 (See Campus Map). You can park on any floor, except DO NOT park in the “coastal access” reserved parking spaces. Please plan to arrive at least one hour before the event start time to allow for sufficient time to park, check-in and set up your table for the event.

Parking permits will only be distributed at the Parking Lot 22 entrance from 8:00AM – 11:00 AM. Each organization will be issued one parking permit. Additional permits may be purchased for $8 at our automated machines (See Campus Map). Career Services is not liable for parking citations issued due to a failure to retrieve a parking permit or for parking at an incorrect location.

Signage will be located near the first floor elevators to direct you to the registration/check-in area.

What does "Event Sponsorship" include?

The Event Sponsorship allows your school/program to gain additional marketing exposure leading up to the event date by:

  • Your school/program's logo displayed on the day of the event
  • Event Sponsor recognition on all printed publications

What is included in the "Additional Representative" fee?

The "additional representative" fee (per person) includes morning coffee/tea, (1) lunch and (1) parking permit.

Where do I ship my materials?

Shipping Before the Event

Registered organizations may choose to ship displays and supplies before the event. We will deliver your materials to your table at the fair. If you would like to ship your materials before the event, please follow these instructions:

  1. Packages must arrive October 23 – October 30, 2017. We will not allow materials to be shipped before October 23, 2017 due to limited space. We cannot guarantee delivery of your materials to your table if they arrive after October 30, 2017.
  2.  Mark your packages clearly with the following:
    - Name of the event (UCSB Graduate & Professional Schools Day Fair)
    - Your organization name (as listed on your registration form)
    - Total number of boxes you are shipping (ie. 1 of 3)
    *** We will use the information you mark on the outside of your package to ensure it is delivered to the correct table on the day of the fair. ***
  3. Send packages to:

We will make every effort to deliver your materials to your table, however we cannot be held responsible for undelivered items, damaged containers, or any other issues which may arise in the shipping or your materials to the event. Shipping After the Event

If you would like to ship your materials via UPS or FedEx after the event, please follow these instructions:

  1. Complete all your shipping forms in advance. All packages must have a complete pre-printed shipping label or form along with your school/program's account number. Packages that do not have a complete pre-printed shipping label or form will not be mailed.
  2. Attach the completed pre-printed shipping label or form to your packages. Staff will be present to assist in packaging your shipments.

What is the cancellation & refund policy?

Cancellation requests must be made in writing and emailed to CareerEvents@sa.ucsb.edu to be valid and eligible for refund. The final date to cancel and still be eligible for a refund is October 19, 2017 by 5:00pm (PST). Cancellations received prior to October 19, 2017 will be refunded the amount paid minus a $50 cancellation fee. Telephone requests will not be accepted. Cancellations made after this date will not be refunded.

What if I register for the event and do not attend?

Registered organizations that do not check-in by 11:00am on the day of the event will be considered a "no-show." Any registration payments that have been collected will not be refunded and the payments collected cannot be used as a credit towards a future event. Any remaining registration balances will still be billed to compensate for not cancelling your registration according to the cancellation policy (via email to CareerEvents@sa.ucsb.edu by the cancellation deadline). Registration for future events will not be approved until full payment is received.
